Data Management Senior Officer
Job Purpose
The Data Management Senior Officer is responsible for maintaining and enhancing the University’s institutional data backbone to support rankings, KPIs, accreditation, quality assurance, and evidence-based governance. The role ensures the availability, accuracy, governance, and accessibility of institutional data across all core domains, enabling reliable reporting and informed decision-making.
Job Responsibilities
Institutional Data Management & Governance
- Support the development and maintenance of the University’s Institutional Data Map across academic and operational domains.
- Maintain structured, traceable, and auditable datasets supporting rankings, KPIs, accreditation, benchmarking, and institutional memory.
Data Quality, Standards & Documentation
- Develop and maintain data dictionaries, indicator definitions, calculation methodologies, and metadata documentation.
- Ensure data continuity, traceability, and retrievability to support audits, accreditation reviews, validation exercises, and historical analysis.
Reporting, Dashboards & Visualization
- Design, develop, and maintain dashboards and reporting templates that track core institutional indicators.
- Produce high-quality institutional reports, charts, tables, and visual outputs for senior management, governance bodies, and strategic committees.
- Translate complex datasets into clear, decision-oriented visuals and narratives tailored to non-technical audiences.
Rankings, KPIs & Reporting Support
- Prepare and manage datasets required for university rankings, KPI reporting, benchmarking, and strategic performance reviews.
- Coordinate data inputs supporting strategic planning cycles, performance reviews, and executive decision-making.
Data Systems, Integration & Automation
- Support the integration of data from multiple institutional systems into centralized reporting environments in coordination with University IT.
- Contribute to improving data management systems and transitioning from manual processes to structured and automated workflows.
- Support the standardization of data flows and resolution of discrepancies across systems.
Accreditation, Quality & Coordination
- Support institutional data preparation for accreditation, quality assurance, regulatory reporting, and external reviews.
- Work closely with academic units, quality assurance teams, rankings teams, and IT to ensure data consistency and readiness.
- Apply and monitor data quality assurance protocols, including consistency checks, reconciliation across sources, and periodic updates.
Other requests
- Respond to ad hoc institutional data requests from senior management and governance bodies.
- Perform other duties assigned by the line manager.
Job Requirements
Educational Qualifications
- Bachelor’s degree in business information systems, Computer Sciences, Business Administration, Economics, Statistics, Strategic Management, or a related field.
- Additional Certification in Data Analytics, Business Intelligence, Institutional Research, or Strategy is an advantage.
Experience
- 4–6 years of relevant experience in institutional research, data management, analytics, or performance reporting within higher education or a comparable complex organisation.
- Practical knowledge of data governance principles, including data ownership, standard definitions, access controls, and audit readiness.
- Experience maintaining institutional data to support accreditation, validation, audits, and external reviews.
- Experience designing and maintaining data dashboards and performance monitoring tools aligned with governance and strategic reporting needs.
- Experience with database systems and structured data environments (e.g. SQL Server or equivalent), including data extraction and basic querying.
- Familiarity with institutional systems such as SRS, CRM, HR systems, finance systems, and quality management platforms.
- Experience using document management and collaboration platforms for data archiving and version control.
- Experience preparing datasets and reports for rankings, benchmarking, and external submissions, ensuring methodological consistency and data traceability.
- Familiarity with accreditation and quality assurance processes, including self-studies, quality profiles, and evidence-based reporting.
Technical Skills
Institutional Data Management & Governance
- Strong understanding of institutional data structures in higher education, including academic, student, research, HR, finance, and quality assurance domains.
- Proven ability to manage end-to-end data workflows, including data collection, validation, consolidation, documentation, and reporting.
- High attention to data accuracy, consistency, completeness, and audit readiness, with experience applying data quality and reconciliation processes.
Reporting, Visualization & Communication
- Strong capability to produce executive-level reports, briefing notes, and presentations that translate data into clear, decision-oriented narratives.
- Ability to develop high-quality charts, tables, and infographics that effectively communicate institutional performance and trends.
Systems & Tools
- Advanced proficiency in Microsoft Excel, including complex formulas, pivot tables, Power Query, and data validation.
- Strong working knowledge of Power BI for dashboard development, data modeling, and institutional reporting.
- Proficiency in Microsoft PowerPoint for developing senior-level presentations with clear visual storytelling.
Accreditation, Quality & Professional Practice
- Ability to compile, validate, and present data for regulatory reporting, accreditation, and external quality reviews.
- High level of professionalism, discretion, and ethical judgment in handling sensitive institutional data
